ESSENTIAL CRITERIA FOR THE ROLE:

  • Relevant administrative / clerical experience.
  • A good working knowledge of office based IT is needed, including Microsoft Office packages

(Word, Excel and Outlook) and electronic filing practices.

  • The ability to communicate in English both verbally and in writing is an essential part of this role.
  • You must provide 2 professional references. (Standing requirement).
  • Be prepared to self-drive manual MT vehicle (and prepared to obtain FMT600) to attend meetings across WSBA and ESBA or occasionally in the Republic of Cyprus.
  • You must undergo and pass security / police / DBS checks.
  • Undertake MOD Mandatory training as required.

 

DESIRABLE CRITERIA:

  • Knowledge of SBA / Community and DCYP MOD Schools

Brief Description of Role(14)

Responsibility for the implementation, coordination and administration of all matters relating to the provision of the Continuous Professional Development Centre for HQ MoD Schools Cyprus. Provides guidance to schools and Early Years on all CPD requirements and opportunities, visiting DCYP representatives and contracted staff. Timely management of queries and requests for information as they occur.

 

Provision of support advice and guidance to MOD Schools and Early Years users on the day to use of Contract Purchasing & Finance (CP&F).  Processing orders for overseas Schools, Early Years’ settings and business units without CP&F access.

 

Additional tasks as required by HQ Team to include Management of the HQ MoD Schools MT fleet, arranging transport, support to overseas recruitment activities and visitors to DCYP units in Cyprus.

Priorities (list in order)(16)

  • Production and Management of Continuous Professional Development (CPD) planner – Ensure that CPD planner is maintained throughout the academic year, engaging with training providers to agree delivery schedules to meet business demand. Ensure that planner is distributed on a weekly basis, so staff are aware of upcoming courses.

 

  • Professional Development Centres (PDC) – Manage the PDC for the WSBA and liaise with King Richard School in respect of the PDC in ESBA. Liaise with all training providers to ensure that all facilities, venues and attendees are correct and appropriate. Production of training materials as required.

 

  • CP&F administrator- Support Business manager with the roll out of CP&F to MOD Schools and Early Years.  Act a central point of contact for questions relating to CP&F, delivery’s, responding to enquiries in a timely manner or seeking guidance from SME’s as required.  Sharing knowledge, best practice and assisting with communications and training as required. Processing of CP&F orders for overseas Schools and Settings without CP&F access.
  • Travel Arrangements – Provide support as required to HQ for civilian flight bookings using ATT/HRG and the Island trooper system. Arrange all associated travel and ensure that all visitors are appropriately logged in the MoD Schools security register.  Complete all relevant documents for visitors.
  • Management of Military Transport for HQ Team – Liaise with Episkopi and Akrotiri MT offices to ensure the smooth running of the MoD Schools MT fleet. Allocate Cars to staff as required and ensure that service dates are met
  • Admin Support to MoD Schools HQ Team  -Provide efficient admin support as required by HQ Team to include transport requests, recruitment activities and general office duties.

CPD

·       Provide advice and guidance to school as the content and requirements of training.

·       Responsible for ensuring that all documentation and facilities required for the training are correctly prepared.

·       Liaises with MoD Schools to arrange all H & S training and bespoke training for specific schools

·       Organise all travel arrangements for visiting representatives of MoD Schools from Germany and the UK as well as any contracted staff.

·       Arrange and distribute visitor itineraries

·       Ensure all security clearance documentation is completed in accordance with the regulations and contracts are in place. Updates MOD Schools Clearance Register.

 

CP&F

  • Input orders in to CP&F for MoD Schools and early years settings.
  • Share knowledge and experience to enable CP&F to be rolled out to MoD Schools and early years setting during academic year 18/19 and onwards.

 

  • Support HQ office in all areas to include transport requests, recruitment activities and claims.
  • Manage HQ MoD Schools MT Pool cars to ensure efficient use and availability

 

  • To undertake ad-hoc duties, as required that may be reasonably expected by the line manager, or within unit objectives.

 

  • To carry out responsibilities with regard to BFC Equal Opportunities and Health and Safety Policies.

Training/qualifications required for the post

Essential:

·       Possession of a full clean driving licence.  Ability to obtain an FMT600 and drive manual MOD self drive vehicles.

·       ECDL or proven IT ability in the use of a variety of IT programmes, including MS Word, Excel, Outlook.

Desirable:

No Specific qualifications required but an understanding of the role and responsibilities of DCYP and MOD schools, military transport procedures and experience of working in a busy admin office would be an advantage.  Effective communicator, able to deal with staff at all levels.
